Work Ethic

Work ethics is a basic guide for all Universiti Putra Malaysia staff in carrying out their daily tasks with the purpose of achieving UPM's vision of becoming a world-class university while forming quality employees. Therefore, all staff of Universiti Putra Malaysia need to live a homogeneous work ethic continuously, in order to unify the thoughts and direction of action of all staff towards the achievement of the University's vision, mission and goals.
 
A) DEFINITION OF WORK ETHICS
Work ethics is a principle and behavioral guide that is held by every staff of Universiti Putra Malaysia which is based on universal moral values.

B) OBJECTIVES OF WORK ETHICS
  • Cultivate a positive nature in carrying out the tasks given and be able to improve the quality of service.
  • Improve self-discipline to produce excellent service by meeting the needs of customers and organizations.
  • Make continuous positive contributions to the country.
 
C) PRINCIPLES OF WORK ETHICS
The Work Ethics of Universiti Putra Malaysia needs to be implemented and lived based on the following principles:
  1. The Right Intention
  2. Good Behaviour
  3. The Mover towards Goodness
  4. Honour the Word
  5. Civilized
  6. Esprit de corps, Loyalty, Consultation (Syura), and Consensus
 
D) AMPLIFICATION OF WORK ETHICS' PRINCIPLES
1. The Right Intention
Carrying out job with the right intention is important and demanded by religion, in line with the following principles:
(a) Meet the requirements of the National Education Philosophy;
(b) Complete responsibility sincerely towards religion and country;
(c) Provide quality contributions;
(d) Renewing intentions for good; and
(e) Seeking halal sustenance for family and self-support.
 
2. Good Behavior
Performing tasks perfectly is the responsibility of all UPM staff towards achieving quality results while improving the organization's image. Therefore, UPM staff need to:
(a) Show the best appearance, speech and actions at all times;
(b) Produce quality job that is continuous, in addition to providing satisfaction to customers; and
(c) Appreciating and being responsible for the results of the organization's efforts.
 
3. The Mover Towards Goodness
Each UPM staff must be a driving force towards goodness. Therefore, all UPM staff must:
(a) Appearing as a dynamic, advanced, competitive person who can encourage someone to do good;
(b) Strive so that work results and practices can highlight the characteristics of excellence and high quality that can be a source of inspiration for colleagues;
(c) Always strive to be the best employee; and
(d) Possess a clear and true understanding of their respective professions.
 
4. Honour The Word
We should always strive to implement on what being said. Therefore, all UPM staff must:
(a) Always show consistency in impressions, recitations and actions, whether towards oneself or others;
(b) What is done must match what is said; and
(c) Always adhere to what is stated in the client's charter.
 
5. Civilized
Regulated, honorable and civilized activities are important towards producing excellent UPM staff. Therefore, each UPM staff must:
(a) Always maintain good manners as found in religious teachings;
(b) Always comply with the rules and instructions of the service; and
(c) Always be guided by appropriate and correct procedures and methods.
 
6. Esprit de corps, Loyalty, Consultation (Syura), and Consensus
Working as a team is necessary to create a harmonious, happy working atmosphere and strengthen friendships. Always loyal, appreciative and be responsible for the results of the organization's efforts. Therefore, each UPM staff must:
(a) Appreciate the saying "united we stand, divided we fall";
(b) Working in teamwork spirit and consultation in making important decisions;
(c) Consult and refer to the superior in dealing with major task problems; and
(d) Always have the esprit de corps and loyalty spirit.
 
E) PARTICULAR BEHAVIOUR TO BE AVOIDED
All staff need to carry out their job with excellence, strive to improve service and further instill an attitude of always striving for continuous improvement, prioritizing customers, agreeing and cooperating through teamwork for the success and interests of the University. A list of behaviors that should be avoided by all Universiti Putra Malaysia staff while performing their daily tasks:
  1. Violating established ethical principles and values;
  2. Not accomplishing assigned tasks and responsibilities;
  3. Not completing assigned tasks according to the time set;
  4. Inconsiderate and selfish;
  5. Lazy in striving;
  6. Tend to oppose without suggestions to improve;
  7. Vigilantly defend one's weaknesses and badness;
  8. Revenge and malignancy;
  9. Treachery in pursuance of tasks;
  10. Grumpy and impatient;
  11. Has a penchant to insult and belittle the efforts of others;
  12. Brown-nosing to get praise and flattery;
  13. Greedy and over pursuing rank and position;
  14. Liked to gossip and slandering colleagues;
  15. Being arrogant and showing off;
  16. Pretending behaviour;
  17. Unappreciative of time;
  18. Not cooperating with colleagues; and
  19. Practicing corruption.
 
F) GOOD VALUES IN WORK ETHIC
There are twelve (12) good values that support the Work Ethics of Universiti Putra Malaysia, namely:
  1. Trust
  2. Fair
  3. True and Transparent
  4. Wise
  5. Thankful and Patience
  6. Efficient, Fast and Accurate
  7. Sincere
  8. Affectionate
  9. Disciplined
  10. Clean
  11. Responsible
  12. Dedicated
 
Disquisition of Good Values in Work Ethics
1. Trust
Trustworthy staff have a sincere heart, good intentions and a pure soul. Each act and action is carried out sincerely, fairly and equitably and is responsible in carrying out tasks without abuse of power and position. For example:
  • Always carry out assigned tasks with full responsibility without deviations and negligence;
  • Be honest and loyal to the organization without abusing power and position;
  • Make the best use of time and complete task within the specified period and do not use working hours for personal matters;
  • Be disciplined and self-controlled and don't do anything that can destroy other people's trust in him;
  • Responsible for reporting irregularities and abuse of power.
 
2. Fair
Make fair and equal judgements in every action and decision based on laws, regulations, preferences and complete and accurate facts. With that, each staff needs to:
  • Obtaining complete information about the requirements of the law and regulations as well as the priority of accurate facts before making a decision or action;
  • Making evaluations objectively and professionally;
  • Accepting views and being ready to reconsider when getting more complete and accurate information and facts;
  • Make critical and analytical judgements and use the right methods;
  • Appreciate the rights and needs of each individual and group and act with consideration;
  • Balance behavior and be fair to yourself and fair to superiors, subordinates and colleagues.
 
3. True and Transparent
Every action and decision must be made through a transparent process and the information must be publicised to the rightful parties as long as it does not conflict with laws and regulations. In addition, all staff must be honest in their intentions and actions. For instance:
  • Having good and honest intentions in doing a task, without hidden intentions or even expecting something in return;
  • Speak the truth and keep promises, don't lie and break promises;
  • Willing to learn or accept other people's advice without being arrogant and spurn;
  • Give or receive instructions that are clear and accurate and also, not misleading;
  • Willing to share experience, knowledge and expertise for mutual success;
  • Practicing consultation (syura) methods in actions and decisions to be made;
  • Be open in giving thoughts and opinions including confident in upholding the truth;
  • Notify actions and decisions to parties who have the right to know, whether parties within the organization or outside the organization.
 
4. Wise
Thinking wisely in making decisions and actions according to the time and situation; as well as having the strength of knowledge, skills, creativity and thinking to plan things systematically and strategically, such as:
  • Using all potential, ability and expertise to succeed in a task with excellence and not taking the easy way out;
  • Able to introduce and implement new methods in various forms that can simplify task and save energy, time and cost as well as increase production and quality of job;
  • Always strive to produce high-quality and high-quality job;
  • Having a rational mind and fair judgement in solving a problem by not following feelings and emotions;
  • Always improve knowledge, expertise and professionalism.
 
5. Thankful and Patience
Be patient and persevere and have the resilience of heart and feelings in confronting any pressure, insistence of the surrounding situation or accept any difficulties; and always be grateful where the feelings and behaviour that appreciate the favours and gifts received, including:
  • Provide good service even in a pressured job environment;
  • Being able to control emotions when accepting challenges and being determined and persistent in performing challenging task;
  • Appreciate the gifts and favours received by not considering success as a right;
  • Willing to give recognition to those who succeed without any prejudice, grudge or slander;
  • Facing problems calmly and with open heart and open arms in accepting decisions, failures and tests and also could not give up; and
  • Be satisfied with the favours obtained such as the rewards received and the facilities provided.
 
6. Efficient, Fast and Accurate
Efficient, quick and accurate in performing his/her job; as well as always being sensitive to time, quality and implementing it diligently until it is perfect and achieves the goal in a suitable period of time, for instance:
  • Be positive, diligent and buckle down to the task, and also ensures the job results are always in good quality;
  • Carry out tasks and responsibilities patiently, assiduously and cheerfully, neither not carelessly nor complaining;
  • Strive for perfection in the first time doing something.
 
7. Sincere
Fulfilling the responsibility of producing the best duty by not expecting rewards with a pure heart, including:
  • Accepting responsibility willingly and with pure heart, without pretending or avoiding responsibility;
  • Perform tasks solely to achieve the goals of the organization, regardless rank, position or attention of others;
  • Provide good service, regardless of rank, status or position and not be favourable;
  • Ready to receive constructive comments and criticism with open heart and mind;
  • Respect each other without any interest.
 
8. Affectionate
Feelings and behaviours that show a sense of understanding, appreciation and caring, such as:
  • Be forgiving and caring, neither vengeance, nor arrogant and haughty;
  • Assume that everyone has self-esteem that needs to be respected without any prejudice;
  • Be considerate and caring in performing duties;
  • Make the organization a great warm family;
  • Sympathy and empathy in carrying out daily tasks.
 
9. Disciplined
Disciplined employees are always be able to control themselves to behave according to laws, regulations, principles and moral values. For example:
  • Proper in behaviour and action;
  • Obedient and comply with instructions, regulations and laws;
  • Adhering to religious teachings and always guarding the self-dignity, the organization, the service and the country;
  • Carry out the assigned duties and responsibilities diligently without need close supervision.
 
10. Clean
Clean is a value that symbolizes the sacred nature of spiritual and physical impurity in living life. In the context of service, clean means the attitude and behaviour of UPM employees that does not show negative traits such as bad intentions, ill will, envy, anger, jealousy, revenge, and so on. Clean also means always concern about the cleanliness of the exterior or environment and also clean in terms of property ownership, as exemplified by:
  • Relations with fellow officers/friends and customers are always orderly and polite;
  • Unoffensive speech;
  • The clothes are always clean and tidy, and the workplace is always organized;
  • Always ensure that the acquired property is clean and commensurate with position and capability;
  • Always control yourself so as not to fall into a state of uncontrollable debt that leads to heinous acts such as fraud, embezzlement or corruption.
 
11. Responsible
Being responsible and always carrying out any duty, task or promise that has been entrusted can be achieved perfectly and effectively. Being responsible also means performing a task based on the laws, regulations and procedures that have been set, such as:
  • Practice the attitude 'where these is a will, there is a way';
  • Always follow the rules set in performing a task;
  • Be responsible for any actions that have been taken;
  • Work with courtesy, which means ready to serve, receive and treat students, staff and the public who come to deal fairly;
  • Maintain confidentiality and not disclose or inform confidential matters to unauthorized persons;
  • Always maintain high level of professionalism when performing a task;
  • Always maintain the good name of Universiti Putra Malaysia.
 
12. Dedicated
Interested and willing to sacrifice time and energy continuously while carrying out tasks. Always have high competitiveness and drive to improve performance and be ready to accept advice or criticism. For instance:
  • Working without sick and tired and bored, and also ready to accept tasks willingly;
  • Willing to sacrifice time and energy for the sake of service;
  • Concentrating work towards the achievement of the organization's mission and goals.
